How we handle your data
Privacy policy.
Short version: we collect the minimum we need to run the site, we don't sell any of it, we don't run ad networks or remarketing, and we respect your browser's privacy signals. The longer version is below.

What you give us directly
The forms on this site collect the minimum needed to do the thing you asked us to do.
- Newsletter sign-up form (/sign-up): your name and email address. These are sent to Mailchimp, which sends you the newsletter on our behalf.
- Book a meeting (/meeting): your email and whatever you choose to type into the meeting form. This is handled by Microsoft Bookings (part of Outlook) so the meeting ends up on Gaither's calendar.
- Email: if you email gaither.stephens@gaitherdyn.com, we keep that email in our inbox like any other correspondence.
What the site collects automatically
On every page, three small services run in the background. They help us understand how the site is used and catch broken pages.
- Google Analytics 4: counts page views, where visits come from, and which pages get used. We see aggregate numbers, not individual people. Google sees the IP address briefly to do geolocation, then truncates it.
- Microsoft Clarity: records heatmaps and anonymized session replays so we can see where the layout confuses people. Replays show mouse movement, clicks, and scroll. Text you type in inputs is masked. We use this only to fix UX problems.
- Sentry: records JavaScript errors so we know when something on the page is broken. When an error fires, Sentry receives the URL, the error stack, your IP address, and your browser type. No data is sent unless an error actually occurs.
If your browser sends the Global Privacy Control signal, we skip all three. See "Your privacy controls" below.
Google Analytics and Microsoft Clarity set first-party cookies on this site for the services described above. We do not set any other cookies, we do not ask you to create an account, and there is no login.
What we don't do
- No ad networks, no remarketing pixels, no behavioral advertising.
- No Meta Pixel, no TikTok pixel, no third-party trackers beyond the three named above.
- No sale of your data. Not to data brokers, not to anyone.
- No browser fingerprinting beyond the basic per-request information (browser, IP, page URL) that every web server sees in its logs.
- No tracking across other websites. The three services above only see traffic on this site.
Third parties we use
A few services are involved in running the site and the dashboards. Each one only sees the data it needs.
- Mailchimp: stores the newsletter list (name + email) and sends the newsletter. See Mailchimp's privacy statement.
- Microsoft Bookings / Outlook: hosts the scheduling form and puts the meeting on Gaither's calendar. See Microsoft's privacy statement.
- Cloudflare: hosts this site and provides DDoS protection. Cloudflare sees standard request logs (IP, user agent, URL) for security and performance. See Cloudflare's privacy policy.
- Google Analytics: page-view counts and traffic sources. See Google's privacy policy. You can install the Google Analytics opt-out browser extension to opt out on every site that uses GA.
- Microsoft Clarity: heatmaps and anonymized session replays. See Microsoft's privacy statement.
- Sentry: JavaScript error reporting. See Sentry's privacy policy.
- Tableau Public: hosts the live dashboards that are embedded on the product pages. When you interact with an embedded dashboard, that interaction goes to Tableau Public. See Salesforce's privacy statement (Tableau is a Salesforce company).
Customer dashboard data
If you are a paying customer, your HMIS export or HDX 2.0 data is uploaded to a secure shared folder we control. We use it to build and refresh your dashboard. We don't use it for anything else, we don't share it, and we don't aggregate it into other products. Hashed identifiers are fine. We don't ask for PII.
Your privacy controls
We try not to make you click through a cookie banner you didn't ask for. Instead, the site reads your browser's Global Privacy Control signal. If your browser sends it, we automatically skip loading Google Analytics, Microsoft Clarity, and Sentry on every page. No popup, no checkbox.
Global Privacy Control is on by default in Firefox, Brave, and DuckDuckGo. For Chrome, Safari, or Edge, the EFF Privacy Badger extension turns it on.
You can also:
- Install the Google Analytics opt-out extension to opt out site-wide.
- Email gaither.stephens@gaitherdyn.com and ask us to delete what we have on you.
Your rights
You can ask us to delete your data at any time. Email gaither.stephens@gaitherdyn.com and tell us what to remove (newsletter subscription, meeting history, customer files, all of the above). We will confirm when it is done.
You can unsubscribe from the newsletter at any time using the unsubscribe link at the bottom of every newsletter email, no message to us required.
Children
This site is not directed at children under 13 and we do not knowingly collect data from them. If you believe a child has sent us information, email us and we will delete it.
Changes to this policy
If the substance of how we handle data changes, we will update this page and bump the "Last updated" date at the top. We will not quietly expand what we collect.
